1. Portal


The portal gives the user a clear overview of all online collaboration workplaces. Customize your Portal by creating tabs for sorting and organizing your collaboration workplaces.

Information icons in the Portal notify you whenever projects or matters require immediate attention. Advanced search functionality helps you find information directly from all collaboration workplaces, regardless which format it's in.

'Today's calendar' and 'My ongoing activities' help you find the right
information speedily by linking directly
to new entries, posts and updates.

2. Collaboration workplaces


You can create collaboration workplaces from scratch in just a few minutes.

It's easy to design and structure the collaboration workplaces so that you highlight the information and data most important for your specific needs.

Customize your workplace by adding different modules, such as the Discussion Forum, Calendar or Project Document modules.

Each module can have different characteristics and settings, which allows each workplace to be as flexible as possible and thereby support a variety of working methods and deal management procedures.

3. Discussion forum


Employ discussion threads to organize and clearly archive discussions and make them accessible.

Discussion forums can include posts such as “Unresolved matters” and “Multiple-choice questions” to easily organize and gather together your team’s opinions, experience and knowledge.

Viewing history of every user makes it easy to see who has read posts.

You can link discussion posts to documents, activities or calendar entries, thereby giving workplace participants the right source material and background ahead of meetings.

4. Invite members


It’s easy for the workplace manager to invite, remove and manage Team Engine users.

Simply enter the user's e-mail address, assign authorization groups and allocate the correct user role. These authorization groups and user roles are specific to each collaboration workplace, and are what define controlled, authorized access.

Then click “Send” to e-mail your invitation.

The recipient receives an e-mail containing a temporary password and a direct link to your collaboration workplace. Online teamwork and collaboration can now begin.

5. Total customization


Team Engine online collaboration workplaces are suitable for a wide range of collaborative projects.

Using ready-made templates, you can create new collaboration workplaces for specific types of collaborative endeavours, such as when starting new project or building up a relationship with a new client.

The workplace’s graphic profiles are easy to adapt and tailor to the needs of your group or company. This means that Team Engine very quickly becomes an integrated part of your operations or product offerings.

1. Activities


It’s easy to create, manage and delegate tasks and activities in Team Engine.

With the help of an activity list, project managers get a quick overview of work in progress for both groups and single individuals.

As project member you can view your own activity list and deliver status reports for each activity in different ways.

Activity lists can be re-arranged, filtered and viewed in many different forms, such as a bar chart.

2. Calendar


Each collaboration workplace can have as many calendars as you like. You can use the calendar to invite members to meetings or to set project milestones and important dates.

You can synchronize calendar entries from a workplace with the calendar application on your own computer.

If you want to notify users of an upcoming meeting, you can send them a link via e-mail or text message.

The calendar gives you a clear overview of upcoming meetings. In the Portal, calendars from all your collaboration places are combined, giving you a quick overall view of all your important dates.

1. Managing documents and versions


Team Engine lets you manage documents in a straightforward, structured manner. Organization by category and a logical folder structure lets you decide how to present documents.

You control access to documents via authorized access groups. You also control who has viewing and editing rights over documents.

By “locking” a document, you become its manager and owner, and no one else can overwrite your document.

The Document module offers version management capabilities, including the ability to access previous versions, if necessary.

2. Approving documents


When you create a document, you can select one or more members who will approve it.

Easy-to-understand icons in the Overview let you know the document's current status and whether someone has requested that you approve a document.

If authorized members approve a document, its status is revised. A document gains “Approved” status only when all authorized members have given it the stamp of approval.

3.Traceability


In “Viewing history” you can see who has and who hasn’t viewed a document.

If a document exists in several versions, you are even able to see via “Amendment history” exactly who has amended each version.

There’s even a “Link history,” created when you send links to workplace participants.

1. Decision support


Team Engine allows project groups to make formal decisions and resolutions. The author of a forum posting can close a discussion by amending its status to “Matter Closed” or “Matter Resolved.”

Doing so suspends the discussion and documents it as a decision taken. No one is able at this stage to make any changes to the discussion thread.

2. The work of the Board


By making use of our ready-made templates for Board activities, the Board can keep focusing on its duties and continue working in sync, even between meetings.

Decision support tools for discussion and the approval process for documents mean that the Board is free to carry on working – even remotely.

3. Managing objectives


Collaborative endeavours are often driven by objectives. A module for managing objectives allows you to break down strategic objectives into sub-objectives and delineate project tasks. At any one level, you are able to assign responsibility to particular individuals or groups.

You can view and submit status and progress reports at each activity level, as well as assemble information into sub- and main priorities.

The use of bar charts and percentages makes it easy to understand status levels and progress.

Share information more securely

Security is a fundamental aspect of all our products. The following features combine to make Team Engine a fully secure solution:

Access management:
Access to information is controlled by individual users' role or group and is set at rhe level of the collaboration workplace, module and even document in question. Access is checked and controlled in every transaction.
Traceability:
All user activity is saved and stored in a log.
Backup:
Data from all collaboration workplaces is backed-up regularly and as frequently as you like.
Encryption:
All traffic to and from collaboration places is encrypted. Passwords are stored in encrypted form, impossible to intercept.

Log-in security can be enhanced even further with a one-time password (OTP) sent via text message or other security authenticator.

Team Engine is installed in your server environment and is deployed behind your firewall. This means that your data, password, logs, backup, etc. are stored internally.

Calendar synch
We have added functionality for you to synchronize the Team Engine calendar with calendars in Lotus Notes, MS Outlook and Gmail. You can also invite people who are not members in Team Engine and receive their answers in Team Engine.

Two new Add-ons
Team Engine is extended with two new add-ons: TE Workflow and TE Contract Management.

TE Workflow supports your organization throughout the workflow process. All the way from the incoming workflow item through processing and finalization. More >>
